About the Role:
As a Billing Specialist for our team, your primary responsibility is to provide exceptional service to our clients by ensuring a smooth and efficient billing process. To excel in this role, you need strong communication and organizational skills and the ability to connect with clients in a timely, professional, and friendly manner.
What You'll Do:
- Prioritize customer service by responding to inquiries from internal and external customers in a professional and timely manner.
- Manage Monday and Google Sheets to ensure the team and clients stay up to date.
- Process client payments, ensuring all transactions are accurately recorded.
- Ensure client billing information is up-to-date and correctly documented in internal systems.
- Keep detailed records of all client interactions related to billing.
- Investigate and resolve client disputes or discrepancies related to invoices or payments.
- Provide clients with clear instructions or resources on payment methods and billing policies.
- Assist clients in understanding IRS notices or related correspondence.
- Ensure all billing activities comply with company policies and relevant regulations.
- Have experience communicating with clients via phone and email (this is VERY important).
What We're Looking For:
- Strong communication skills, both verbal and written, with a proven track record in client relations.
- Proven experience managing billing processes, including creating, sending, and tracking invoices.
- Familiarity with reconciling accounts, handling disputes, and ensuring accurate client payment records.
- Excellent organizational skills and attention to detail.
- Proficiency in computer systems and relevant software.
